DanChurchAid (DCA) is looking for an HR & Admin Intern. The Internship programme is for Three (3) Months. The duty station will be Juba Country Office.
DCA is working with local partners in South Sudan to assist the poorest of the poor with a focus on protection, combating hunger, working for peace and conflict mitigation and the safe removal of explosive remnants of war (EWR).
In DCA we strive to secure high-quality standards for both our programme and support staff. The aim for our staff is to maintain a smooth running of the DCA Office with accountability, professionalism, and staff welfare as a priority, creating an efficient, open and inspiring work environment for all.
The HR & Administration Intern requires strong interpersonal, communication and willing to learn organization skills and with highest level of integrity, the HR & Administration Intern shall be trained on how to assist Juba and field operations in terms of facilitating and implement HR/Administration systems and procedures, participate in initial screening, HR systems and procedures as well as filling and documentation of all DCA personnel files.
- Receive training on the Human Resources Information System (HRIS), including contract management, payroll, leave administration, data updates, and generating reports as requested.
- Learn to support employee development reviews (EDR) and separation‑related compensation and benefits processes.
- Serve as an initial point of contact for HR inquiries, responding promptly in coordination with the Senior HR & Admin Officer on matters such as leave, medical benefits, recruitment, and staff welfare.
- Gain practical experience in the full recruitment cycle, from requisition to onboarding.
- Support accurate and organized data management by maintaining audit‑ready personnel files for national staff.
- Learn to complete HR documentation—including education, leave, and exit‑clearance forms—with accuracy and consistency.
- Assist in managing medical insurance processes, including completing and submitting corporate medical application forms.
- Participate in personnel file audits in line with checklists, donor requirements, and audit standards.
- Receive training in processing legal documentation such as work permits, alien registration, visas, certificates of good conduct, RRC certifications, and ensure staff IDs are issued and collected at separation.
- Maintain secure digital and physical storage of all contractual and legally binding documents and upload relevant files to the DCA Intranet.
- Request monthly staff airtime and ensure visitor phones are topped up as needed.
- Bachelor’s degree in human resources management or a related field.
- Knowledge of South Sudan’s labour legislation.
- Excellent written and verbal communication skills in English.
- Strong time‑management abilities.
- Demonstrated teamwork, with an open, empathetic, and positive attitude.
- Flexible, patient, and resilient.
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Understanding of PSEAH, Child Safeguarding, accountability, and complaints mechanisms, with the ability to support training and tool development.
- Willingness to uphold and embody DCA’s values of compassion, proactivity, responsibility, and respect.
