Inventory Management and Supply Chain Officer

We seek a passionate, talented, experienced Inventory Management and Supply Chain Officer to join our team. The Candidate will oversee the daily management and reconciliation of inventory, ensuring accuracy and efficiency in stock handling processes.

This role is critical in maintaining inventory integrity, optimizing inventory operations, and providing exceptional customer service.

Key Responsibilities

  • Maintain accurate stock records and Ensure safe custody and proper documentation of inventory transactions.
  • Conduct spot checks, daily cycle counts, monthly, quarterly, and annual stock takes.
  • Reconcile physical inventory with system records for stock accountability to ensure 100% stock accuracy; investigate discrepancies.
  • Maintain accurate and up-to-date inventory records using inventory management software.
  • Identify and report on obsolete, slow-moving, or damaged stock.
  • Generate/prepare daily, weekly and monthly inventory reports on inventory levels, movement, ageing, usage patterns, and trends/forecasting and submit them to management for decision-making.
  • Manage relationships with suppliers, negotiate terms and track deliveries.
  • Negotiate terms and conditions with suppliers to optimise costs.
  • Receive products from suppliers and ensure supplier delivery notes/documents are signed, stamped, and filled out accurately.
  • Verify the quality, quantity, and specifications of received supplies.
  • Process purchase orders (POs) and Goods Receipts Notes (GRNs)against supplier delivery notes and documents.
  • Monitor order fulfilment, track deliveries, and address any discrepancies or delays in a timely manner.
  • Accurately record all stock purchases and transfers in the register. Ensure that all company stores are well-organized, clean, and neatly arranged at all times.
  • Ensure items are labeled, stored, and secured to prevent loss or damage.
  • Implement efficient storage solutions to maximize space utilization.
  • Ensure proper labeling and secure storage of items and inventory.
  • Collaborate with production and sales teams to meet inventory needs ON TIME & IN FULL.
  • Ensure timely and accurate order fulfillment.
  • Verify stock returns, generate credit notes, and manage transfers.
  • Analyze inventory data to optimize stock levels and forecast needs.
  • Implement and manage inventory control procedures.
  • Oversee the automation of warehouse processes for efficiency.
  • Any other duty assigned by the line manager from time to time.
Skills and Experience

  1. High level of integrity, unquestionable character, and self-discipline.
  2. At least a Diploma in Procurement, Supply Chain Management, inventory control, Business administration, or a related field.
  3. Relevant certifications or additional qualifications will be considered a plus.
  4. 3+ years of experience in inventory management, stock control, or a related field.
  5. Strong analytical mind with attention to detail.
  6. Capable of working in a deadline-driven environment.
  7. Excellent organizational and Good communication skills.
  8. Ability to make informed decisions and work independently informed.
  9. Computer literacy and proficiency in using Inventory management software.
  10. Leadership in planning, motivating, and managing a team.
