We are currently seeking a highly organized and efficient individual to join our team as an Administrator/Personal Assistant. In this role, you will be responsible for providing comprehensive administrative support to senior executives and ensuring the smooth running of day-to-day operations.
Responsibilities:
1. Manage the calendar and schedule appointments, meetings, and travel
arrangements for senior executives.
2. Screen and prioritize incoming calls, emails, and correspondence, providing
timely responses and routing them to the appropriate personnel.
3. Prepare and submit expense reports, ensuring accuracy and adherence to
company policies.
4. Coordinate and organize meetings, conferences, and events, including booking
venues, arranging catering, and preparing meeting materials.
5. Draft and proofread documents, reports, and presentations, ensuring accuracy
and consistency in formatting and content.
6. Conduct research and compile data as required, presenting findings clearly and concisely.
7. Maintain and update filing systems, both electronic and physical, ensuring
documents are easily accessible and stored appropriately.
8. Assist in the preparation of financial reports and budgets, ensuring
accuracy and adherence to deadlines.
9. Act as a liaison between senior executives and internal/external
stakeholders, maintaining professional relationships and handling confidential
information with discretion.
10. Perform general administrative tasks such as ordering office supplies, managing
office equipment, and coordinating maintenance requests.
Requirements:
1. Proven experience as an Administrator/Personal Assistant or in a similar
role.
2. Excellent organizational and time management skills, with the ability to
prioritize tasks and meet deadlines.
3. Strong attention to detail, with excellent written and verbal communication
skills.
4. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint,
Outlook).
5. Ability to handle confidential information with discretion and maintain a
high level of professionalism.
6. Strong problem-solving skills and the ability to make sound decisions under
pressure.
7. Ability to work independently and as part of a team, with a flexible and
adaptable approach to work.
8. Strong interpersonal skills and the ability to build and maintain
relationships with stakeholders at all levels.
9. Proactive attitude with the ability to anticipate needs and take initiative
in accomplishing tasks.
